Field Group vs. Field Group Data
Let’s clarify these two terms:
Field Group: defines a group of related fields. Think of it as a layout or structure (e.g. {Customer.Name}, {Customer.TaxID})
Field Group Data: a saved entry that holds actual values for that Field Group. For example:
“Cao Trung Dương”, Tax ID: 123456789
Templates are filled using Field Group Data — not the Field Group itself.
How Auto-fill Works
Here’s the basic flow in Formtify:
- You select a Group inside the template (e.g. “Customer Info”)
- Click the “Select from Existing Field Group” button
- A 3-level menu opens where you pick the saved data you want to apply
- The mapping screen appears to match fields between your data and the template
- Once confirmed, the fields are filled instantly — and editable if needed
Let’s break this down step-by-step.
Step-by-Step Guide
Step 1 – Choose a Group in the Template
Templates in Formtify include Groups — such as “Client”, “Guarantor”, or “Representative”. These are built using Field Groups in your workspace.
Click on the group you want to fill. You’ll see the button:
Select from Existing Field Group
This is your gateway to loading saved data.
Step 2 – Select a Field Group Data Entry
Clicking the button opens a 3-level menu:
First column: Categories — like “Customer”, “Company”, etc.
Second column: Field Groups inside that category (e.g. “Customer Main”, “Partner Contact”)
Third column: Field Group Data entries saved inside the selected Field Group (like “Cao Trung Dương”, “1. OCR Required Error”)
Just hover through the columns and click to select the data you want to use.
You can preview the values of each entry in the third column before applying.
Step 3 – Review or Adjust Field Mapping
After selecting your data, Formtify shows the mapping screen.
This appears every time you use the auto-fill — not just the first time.
Here’s what the mapping screen does:
It lists all fields in the template group and lets you match them with fields from your Field Group.
If any fields from your Field Group have the same field key as the template group, they will be matched automatically.
Example:
{Customer.TaxID} → {Customer.TaxID}
{Representative.Name} → {Representative.Name}
Formtify splits the fields into two sections:
Fields with available values — suggested matches shown immediately
Fields without values — you can still map them now, even if they’re blank
Mapping a blank field now saves effort later — Formtify remembers it and applies the value automatically next time if it exists.
How Mapping Is Saved and Reused
Once you confirm the mapping, Formtify saves it based on:
Field Group (structure) → Template Group in a specific Template Set
This means:
All Field Group Data entries created from that Field Group will share the same mapping
Mapping will auto-apply across all templates using the same group structure in the same Template Set
You only need to map it once
Next time you reuse the same Field Group Data (or another entry from the same Field Group), the system remembers exactly how everything matches.
What If the Data Is Incomplete?
Not a problem.
Fields without values won’t overwrite anything
You can still map them so the system is ready for future data
Manual edits are still allowed after the auto-fill is applied
It’s flexible, forgiving, and smart.
