Manage OCR Documents and Preview

Introduction

So far, you’ve uploaded documents and reviewed the extracted information. Now let’s take a step back and look at the bigger picture — managing all your OCR documents in one place!

This article will show you how to find your files, sort and filter them, and even preview them without diving into edit mode. Think of it as your personal control center for everything OCR-related.

Where to find your OCR documents

There are two places where your uploaded documents live:

OCR Centre → All OCR Documents
OCR Centre → {Document Type} (like ID Card, Invoice…)

The All OCR Documents page shows everything — no matter the type. If you want a more focused view (like just contracts or receipts), go to the matching document type tab.

What information is shown?

Each document is displayed in a tidy row. At a glance, you’ll see:

Name of the file (what you uploaded)
Type of document (like “Passport” or “Business Card”)
Status (Pending, Done, Error…)
Uploaded by (helpful in team workspaces!)
Date of upload
Upload Source — was it uploaded manually or via auto-fill popup?

No need to click into each one — this overview helps you quickly spot what’s done and what still needs attention.

Search, sort & filter

When you’re handling lots of files, being able to find the right one fast is a lifesaver.

Here’s what you can do:

Search by document name
Sort by upload date or name
Filter by document type, status, or uploader

This is especially helpful if you’re working in a team and need to filter out your own uploads or find what’s still in progress.

How to preview a document

Don’t want to open the full review mode? You can preview a document right from the list!

Click the three-dot button (⋯) at the end of any row
Select “Preview” from the menu
A pop-up will open showing the document pages

From here, you can scroll through the file, even if it has multiple pages. This is handy when you just want to double-check something without editing.

Rename or delete a document

Need to fix a typo or remove something? No problem.

In that same three-dot menu, you’ll find:

Rename — gives you a pop-up to edit the file name
Delete — opens a confirmation dialog before removing the file

These actions help you stay organized, especially when you upload test files or need cleaner naming before exporting.

Managing multiple documents at once

Sometimes you want to take action on a bunch of files, not just one. That’s what bulk selection is for.

Here’s how it works:

Hover over any document row to see the checkbox
Click the checkbox to select
Once you select more than one, options for bulk actions (like delete) will appear

It’s fast and efficient — especially useful for clearing out old or incorrect uploads.

Tips to stay organized

A few suggestions to make your OCR Centre even more powerful:

Use clear and consistent file names
Mark reviewed documents as completed so you can filter them out
Add notes or status labels if your team is sharing the same workspace
Check the Upload Source to know where a file came from
