Save progress / completed docs with record

Introduction

Previously, we explored how to fill in a document using a template in Formtify. But what if you’re halfway through and need to pause? Or you want to keep a copy of a document you already filled and downloaded? In this guide, we’ll show you how to save any version of your document — at any point — using the record system.

This feature is perfect for users who want to come back and continue later, or simply want a place to manage and track everything they’ve created.

What Is a Record?

A record is a saved version of a document you created using a template. It stores all the values you’ve entered in the fields, along with an optional note and timestamp.

You can create as many records as you like from a single template — for different clients, different cases, or just different versions.

Later, you can reopen any saved record to keep editing it, or download it again without starting from scratch.

How to Save Your Progress

When you’re filling out a document, you’ll see a Save button at the top right.

Click it, and you’ll be asked to enter a few details:

Record Name
Optional Note (up to 100 characters)

The name is required — and Formtify will suggest one automatically like:

Employment Agreement_10:42 AM_03/07/2025

You can use the default or type your own. The note is optional — something like:

Waiting for manager approval
Missing date of signature
Filled with client John’s info

Once you hit OK, your record is saved! If you clicked Save & Download, the document will also be downloaded instantly.

Where Are My Saved Records?

You can view all saved records for a template in two places:

  1. From the Fill Document page:
    Click the record icon on the right panel. This opens the All Records of this template panel without leaving the page.
  2. From the History page:
    Use the left sidebar menu to go to History. Here you can search across all templates and see every record you’ve ever saved.

In both places, you’ll see:

Record name
Note (if any)
Time last saved

Records are listed with the most recently saved ones on top. You can filter by date or use the search bar to find what you need quickly.

  • No pressure to finish everything: You can save even if some fields are still empty.
  • Edit anytime: All records can be reopened and updated.
  • Visual feedback: The one you’re currently editing is highlighted. Hovering over records gives clear actions.
  • Search & filter: Find older records easily with built-in tools.
  • Character counter for notes: Max 100 characters, with live counting.
  • Tooltips for long notes: Hover to see full text if it’s cut off in the list.
