Remove or Transfer Users

Introduction

Sometimes, changes happen in your team — someone leaves, switches roles, or you just need to clean up your workspace. In this guide, we’ll walk you through how to remove users from your workspace, and how to transfer ownership if needed. Don’t worry, none of this is complicated, and you won’t break anything by clicking around.

Remove a user from your workspace

Removing someone from your workspace is useful when a team member no longer needs access to your templates or documents. Maybe they’ve finished their part of the project, or maybe their email has changed — either way, removing them is just a few clicks away.

Here’s how to do it:

  1. Go to your Workspace Settings.
  2. Open the Manage Users tab.
  3. Find the user you want to remove.
  4. Click the three dots (•••) next to their name.
  5. Select Remove from workspace.

Once removed, they’ll lose all access to the workspace and its templates, records, and documents.

What happens after removing a user?

  • Their name will disappear from the user list.
  • They can no longer access documents or create new ones.
  • If you’re on a paid plan, the seat they were using becomes available immediately, so you can invite someone else without upgrading.

If you accidentally remove someone, just invite them back using their email address. As long as the seat is still available, they’ll join right back in.

Transfer ownership to another user

Only Workspace Owners can manage billing, cancel subscriptions, and delete the workspace — so if the current owner is leaving or changing roles, it’s important to transfer ownership to someone else.

Here’s how:

  1. Make sure the person you want to transfer ownership to is already a member of the workspace.
  2. In the Manage Users section, find that user.
  3. Click the three dots (•••) next to their name.
  4. Choose Transfer Ownership.

You’ll see a confirmation popup asking if you’re sure. After the transfer, you’ll become an Admin.

Once the new Owner accepts the transfer, they’ll take over full control of the workspace, including billing, plan upgrades, and deletion permissions.

If they don’t accept within a set time, the ownership stays with you.

What if you’re the last Owner?

Formtify requires at least one Owner in every workspace. If you try to leave or remove yourself without assigning another Owner, the system will block the action.

You must first transfer ownership to another member before leaving the workspace.

This is to make sure there’s always someone with full control over billing and settings. If you’re the only user left in the workspace, we’ll show a friendly reminder that you can’t leave… until someone else joins and takes the reins!
